Why CareHub

What changes when everything runs in one system

Most errors in care operations happen at the hand-offs: between the roster and the timesheet, the timesheet and the invoice, the invoice and the pay run. CareHub removes the hand-offs.

What is different

Eight things you get from day one

One system, from roster to billing

The visit a coordinator rosters is the visit the worker clocks, the note the family reads, the timesheet the office approves, the invoice line, the claim and the pay run. Nothing is exported from one tool to be typed into the next.

Data stored in the Oceania region

The database and stored documents are created in Cloudflare's Oceania region, and each provider's data is kept apart from every other provider's.

SCHADS-aware pay exports

Loadings, penalties, overtime, minimum engagement and broken shifts calculated per line with the award clause, then a file your payroll system imports. What isn't calculated is flagged, not guessed.

NDIS price rules, as data

Dated price lists from the official catalogue, zones, time bands, group pricing, short-notice cancellations and funding periods. Nothing is hard-coded, so a July price change is an import, not an update.

Privacy duties built in

A request register with due dates, participant exports reviewed before release, retention dates, deletion with a tombstone, and a breach register, on every plan.

Two-factor sign-in and audit

Two-factor sign-in is always required for owners and admins, with a second check before sensitive actions, and every change, sign-in, export and download is in the audit log.

Works on phones, even offline

Workers install the app from the browser and can record a visit without signal; it is sent when they are back online. Every office screen also works on a phone.

Features come with the plan

Four plans, each including everything in the one before. You don't buy modules one by one on top of your plan.

How it behaves

Fail loud, never guess

  • A missing price, NDIS number or plan manager email holds a participant back from invoicing, with the reason.
  • A pay line CareHub can't calculate is flagged with its award clause.
  • An issued invoice never changes; corrections are credit notes.
  • Notes and medication records are never edited silently; corrections are amendments.
  • A payroll file with any problem is refused with the list, never half-written.
Being straight with you

Where CareHub stops

  • Claims are uploaded to the my NDIS provider portal as a file; CareHub does not submit through the NDIA's API.
  • Support at Home claims are lodged in your own claiming channel from CareHub's claim-lines file.
  • CareHub calculates pay; your payroll system pays it.
  • Invoices and letters are printed or saved as PDF; CareHub does not email them.
  • Accounting and payroll packages take CareHub's export files; there is no live sync.

Judge it on your own week
